What is an electronic document?

An electronic document is a digital picture of the original paper document. When a piece of paper is run through a scanner it makes an electronic image of the document, similar to a digital camera.


Why should I convert to PDF?

The advantage of PDF is being able to share information across different computer platforms without needing to have a specific program (other than Adobe Acrobat® Reader) or operating system to view or print the file.


What is OCR?

OCR stands for Optical Character Recognition. OCR is performed by specialty software and is used to convert an original hard copy document into a computer file that can be edited using a Word Processor program, Spreadsheet program, etc.


Can I scan my documents in color?

Documents have traditionally been scanned into black and white (bi-tonal) image to conserve storage space. With new advancements in scanning technology you can scan your documents in color in the same space.


Should we outsource this function?

Although outsourcing has been around as long as work specialization has existed, in recent history, companies began employing the outsourcing model to carry out narrow functions, such as payroll, data entry, and document imaging. Typically, the function being outsourced is considered non-core to the business. Those processes could be done more efficiently, and therefore more cost-effectively, by other companies with specialized tools and facilities and specially trained personnel.


How many documents can be stored on CD?

This can depend on the size of the original hard copy (i.e. letter, legal, etc.). A 630 MB CD can hold up to 25,000 letter size (8.5" x 11") documents (black and white-no color). A typical four drawer file cabinet can hold up to 25,000 pages. Assuming all these pages are single sided, one 4 drawer file cabinet worth of documents could fit on one DVD.
